This Privacy Policy explains how I (Deana Nichols - Independent Funerals and Death Care) collects, uses and protects your personal information. I am committed to handling your personal information with care, sensitivity and respect, in line with the Privacy Act 1988 and the Australian Privacy Principles.

I provide funeral and related services to families and individuals in South East Queensland.

If you engage our funeral services, we may also collect information about:

  • The deceased person, including name, date of birth and date of death

  • Family relationships and contact details of next of kin or authorised representatives

  • Other details needed to organise and deliver funeral or memorial services

I do not intentionally collect sensitive information unless it is reasonably necessary for our services and you have provided it to us voluntarily (for example, cultural, religious or personal preferences related to a service).

  • You submit your details through an online form or enquiry form (including Meta / Facebook / Instagram lead forms)

  • You interact with our website or social media pages

  • A family member, legal representative or other authorised person provides your details to us in connection with funeral arrangements

Where it is reasonable and practical to do so, I collect information directly from you. If I collect information about you from someone else, I will take reasonable steps to let you know.

4. Why we collect your information (purposes)

I collect, hold and use your personal information to:

  • Respond to your enquiries and provide you with information about our services

  • Arrange, deliver and manage funeral and related services

  • Communicate with you about bookings, arrangements, changes and follow-up support

  • Send you quotes, invoices and receipts

  • Maintain our business records and comply with our legal and regulatory obligations

  • Improve our services, website and communications

I may also use your contact details to send you information about our services, events or resources that may be relevant to you. You can opt out of marketing communications at any time (see section 8 below).

5. How we use information from Meta / Facebook / Instagram ads and forms

When you submit your details through a Meta (Facebook or Instagram) lead form or advertisement:

  • The information you provide (such as your name, phone number, email and any answers to questions) is sent to us so we can respond to your enquiry.

  • We use this information solely to contact you, answer your questions, provide quotes and, if you choose, help you arrange services.

  • Your details are stored securely in our email, customer records or other systems we use to manage enquiries.

We do not sell, rent or trade your personal information to third parties for marketing purposes.

Meta (Facebook/Instagram) may also collect and use information about you as described in their own privacy policies. We do not control how Meta handles that information.

6. Sharing your information

I may share your personal information with:

  • Service providers and suppliers involved in organising a funeral or related service (for example: cemeteries, crematoria, florists, venues, celebrants, printers, audio-visual providers)

  • Professional advisors such as accountants, insurers or legal advisors (where reasonably necessary)

  • Government agencies or authorities where required or authorised by law

I only share information that is reasonably necessary for the purpose and we take reasonable steps to ensure third parties protect your privacy.

I do not sell your personal information.

7. How we store and protect your information

I store personal information in a combination of paper and electronic records.

I take reasonable steps to protect personal information from:

  • Misuse, interference and loss

  • Unauthorised access, modification or disclosure

These steps may include:

  • Using secure computers, devices and password protection

  • Limiting access to personal information to staff or contractors who need it to perform their work

  • Using reputable third-party systems and platforms for email, document storage and customer records

While I take these steps, no method of transmission or storage is completely secure. We cannot guarantee the security of information transmitted over the internet, but we strive to protect it as best we can.
